Virtual assistant for Shopify: what to delegate, what to keep and how to give them a real task list

A virtual assistant for Shopify is a remote helper who takes repeatable store work off your plate (product uploads, price changes, discount codes, order questions, reports), and the main thing that decides whether it works is not their skill but the quality of the task list you hand over. Hire for work that is repeatable and well described, keep the decisions that need your judgment, and give staff-level access, not the owner login.

In the video, a store loses to a stronger competitor. Help is only useful if it points at what is actually costing you sales. So after the hiring basics, this guide shows how to turn "improve the store" into tasks an assistant can finish, and keeps your attention on the competitor you are trying to beat.

What does a virtual assistant do for a Shopify store?

The categories repeat across agency guides. Stealth Agents, a VA provider, groups the work into four:

  • Store operations: uploading products, updating prices and variants, setting up discount codes, managing collections and navigation.
  • Customer service: order status questions, refunds and exchanges, shipping delay updates, disputes.
  • Inventory and supplier coordination: tracking stock, flagging low inventory, coordinating restocks.
  • Marketing support: scheduling social posts, managing email flows, pulling sales reports, updating blog content, handling reviews.

Read that as a vendor's list, not a standard. It is useful because it shows the pattern: the work is repeatable, has a clear finish and follows a procedure.

What should you delegate, and what should you keep?

What to delegate to a Shopify virtual assistant and what to keepDelegate repeatable tasks such as product uploads, price and variant updates, discount codes, order status replies, reports and email drafts. Keep or review decisions about the offer, refund policy, ad spend, page redesign, payments and billing and supplier terms. Our judgment, based on the task categories in a VA agency's Shopify guide and on what needs the owner's decision.

A simple test: if you could write the steps on a page and check the result in a minute, delegate it. If it needs a judgment about your brand, your margin or your customers, keep it, or at least review it. The same guide treats paid advertising as a separate role that needs someone with ad campaign experience, and says growth decisions such as sourcing and scaling ads stay with the owner. We agree, and we cover that side in our guide to the Meta media buyer.

Page changes sit in between. A VA can install a review app or swap an image if you tell them exactly what and where, but deciding what the page should say is a conversion question. For that you need a specialist, see the Shopify landing page specialist, or you need evidence of what is wrong.

How much does a virtual assistant for Shopify cost?

Prices depend mostly on where the person is and how you find them. According to the Stealth Agents page (a vendor, so these are asking prices), offshore dedicated assistants for skilled ecommerce work run about $10 to $20 an hour, freelance-platform assistants about $5 to $15 an hour, and US-based assistants about $25 to $50 an hour. It puts a full-time offshore assistant at about $1,600 a month and a 20-hour week at about $800. The same page notes that cheaper platform rates are often offset by the time you spend sourcing, screening and managing.

We could not verify these figures at an independent source, and other vendors publish different ranges, so use them to understand the spread rather than to budget. The reliable way to get a price is to write your task list first and ask two or three providers to quote it.

How do you hire and onboard one safely?

  1. Write the task list first. Candidates can only be judged against real tasks.
  2. Use a paid trial. The same guide suggests a trial with one real product listing and one customer email; it is a cheap way to see their care and writing.
  3. Give staff access, not the owner login. Shopify's staff accounts let you assign roles and permissions per person, so a VA gets only the permissions you assign, such as managing products and orders. Do not share your owner credentials.
  4. Write down the procedure. A short document per recurring task (how a product is uploaded, how a refund is answered) makes quality repeatable and replaceable.
  5. Review at first. Spot-check their work early, then reduce the checks as the output proves reliable. Correct mistakes in writing and update the procedure.

Is Shopify Sidekick a virtual assistant?

It is an AI assistant inside the Shopify admin. Shopify's Sidekick page says it answers questions and completes tasks from any admin page, uses the page you are viewing as context, and applies generated content to your store when you click Apply. It lists what it cannot do too: it cannot handle customer support conversations, and it does not change your store without your approval. It is a good first pass for drafting product copy or finding a setting, and it is not a replacement for a person who handles your orders and inbox. Which one you need depends on whether the bottleneck is thinking or hours.

How do you give an assistant work that actually improves sales?

"Improve the store" is not a task. A good one says what to change, where, and how to know it is done. The loop is simple:

From audit to assistant tasksFour steps: audit the store and rank the problems, write each problem as a task with what, where and done-when, let the assistant do one task at a time, then review by re-checking the page. 1 Audit the storeproblems, ranked2 Write each as a taskwhat, where, done when3 The VA does itone task at a time4 You reviewre-check the page
The loop that turns 'improve the store' into work someone else can do.

The hard part is step 1: knowing what is worth doing. You can build it from your analytics, from a CRO checklist such as our Shopify CRO audit, or from an automated audit that reads the page, such as EliteVault (ours — full disclosure).

EliteVault in action

An audit turned into a task sheet

An assistant cannot act on "make the store convert better". They can act on a task with a place and a finish line. Here is the shape of a sheet built from an audit. The first two lines are the two blockers an EliteVault audit flagged on one of our own stores (home decor, name hidden, audited 2026-10-21); the layout is a template.

#Task (from the audit)WhereDone when
1Remove the fake countdown timerWhere the audit points to itThe timer is gone from every template; you have checked on mobile
2Add authentic social proofProduct pages, near the buy buttonReal reviews are installed and visible near the buy button
3…The next fixes, in the audit's orderper fixwritten by you from the fix's steps

The third row is deliberately a template: the other fixes and their steps open with the $7 unlock for that audit or with a paid plan, and we are not going to invent them here. What matters is the method. An audit gives you a ranked list in plain language; you add a place and a finish line; the assistant has a queue. Note the second task needs judgment before it is delegable: which reviews to show and how to request them is your call.

EliteVault is not a virtual assistant and does not do any of these tasks. It reads your page and tells you what to fix, in order.

From an EliteVault audit. Available on: everyone: the audit's problems and fix 1 are shown to anonymous visitors and Free accounts. The remaining fixes, with their how-to steps, open with a one-time $7 unlock for that audit, or with Pro and Scale.

See the problems an audit flags on your own page: Get your store's ranked problems →

On plans: anonymous visitors and Free accounts see the audit's problems, the annotated screenshot, the ad-readiness verdict and the first fix. Enough to hand your assistant their first task. The rest of the fixes with their how-to open with a one-time $7 unlock for that audit, or with Pro ($19 a month).

Red flags when hiring

  • They are vague about their Shopify admin experience.
  • They ask for the owner login instead of a staff account.
  • They promise sales or traffic results; an assistant executes tasks, they do not guarantee revenue.
  • They have no procedure for checking their own work.

Give the assistant a target: the store next to you

An assistant raises your capacity; the plan still has to be yours. Compare your store with the leader in your niche, list the gaps in order, and hand them over one by one. For other tools around that, see website audit tools, and for the page itself, our Shopify store audit. If you are weighing a specialist instead of an assistant, read what an ecommerce CRO specialist does.

Frequently asked questions

What does a virtual assistant do for a Shopify store?

Repeatable store work: uploading products, updating prices and variants, setting up discounts, answering order status questions, coordinating inventory and pulling reports. Decisions about offer, pricing and strategy stay with the owner.

How much does a virtual assistant for Shopify cost?

It varies by location and sourcing. One VA provider publishes about $10 to $20 an hour for offshore dedicated assistants, $5 to $15 for freelance platforms and $25 to $50 for US-based ones; those are a vendor's figures, so get quotes for your own task list.

Should a virtual assistant have owner access to my Shopify store?

No. Create a staff account with only the permissions the role needs, with only the permissions the role needs, such as products and orders.

Is Shopify Sidekick a virtual assistant?

It is an AI assistant in the Shopify admin that answers questions and completes tasks with your approval. It does not handle customer support conversations, so it complements a human assistant rather than replacing one.

Does EliteVault replace a virtual assistant?

No. EliteVault audits your store and ranks what to fix; it does not perform tasks. The audit can be the basis of a task list you hand to an assistant.
